                                        Super User/Super Doc Adoption
                                               

Purpose: The purpose of super users and super docs are to provide a support system within the department. Super users are utilized during the build process to provide input on building the system. They also assist in validating workflows. Super users provide a first point of contact within the department. Involvement of a Super Doc is vital as these individuals normally have different insight to build and user issues. This also provides a peer to peer support for providers.

Selection Process: One Super User and One Super Doc per department, if department is large may want two and two. We recommend you also consider assigning a Super User from the billing office and possibly front desk personnel (any other department affected by the EMR implementation). Scan Super Users should be assigned as well.

Super users should be assigned based on their enthusiasm for technology and ability to dedicate some additional training/meetings time.

Process for Super User/Super Doc Adoption:

1. Hold a Super User/Super Doc Kick Off Meeting (agenda below)

● Overview of the Project {Phase A, Phase I, Phase II – explain functions of each phase and reason for rolling out in phases}

● Time Line and Roll Out schedule for the Clinic {review time line and departmental roll out)

● Super User/Super Doc Role {help in building of the system, including workflows, first point of contact for department, cheerleader for the project}

2. Hold weekly super user meetings/calls for the following purpose:

       a.	Relay changes to system – in turn the super user is expected to “share the wealth” and relay this information to their departments
       b.	Allows an avenue for the super users to bring up questions or issues

3. Hold quarterly super user training sessions to train on more advanced features as well as “tips and tricks” of the system

4. Attend Super User Training sessions as well as one to two additional department training sessions prior to kick off. This not only provides the super users with additional training necessary to answer questions, but they serve as an important part of support during training. Super users can attest to workflow questions/issues specific to the department.

Advantages to Super User Adoption:

1. Huge benefit in having onsite assistance for end users

2. Decrease support calls

3. Provides an avenue to relay additional information/training post go live

4. Spreads the load and allows for more brainstorming and trouble shooting

5. Ensures SUCCESS in the EMR implementation project
